Sending rent reminders on WhatsApp without being awkward
When to remind, what to say and what never to say. Ready-to-use rent reminder messages in English and Bangla for before, on and after the due date.

Most landlords would rather not ask for rent. It feels awkward, especially with a tenant you like, and so the reminder gets put off until the 15th, when it has to be sterner than anyone wanted. The awkwardness usually comes from two things: reminding at the wrong time, and saying too much.
This guide covers when to send rent reminders, what to write, what never to write, and ready-to-use messages in English and Bangla for before, on and after the due date.
Why WhatsApp works for rent reminders
In Bangladesh, WhatsApp is where tenants actually read messages. A WhatsApp reminder:
- arrives on the phone the tenant already checks
- shows you when it's been delivered and read
- sits in a thread with past receipts, so the context is right there
- can be answered with a quick "Will send tonight", which is all you need
SMS still has a place for tenants who don't use WhatsApp, and email is good for attaching receipts. For the reminder itself, WhatsApp is usually the best fit.
The golden rule: remind early, briefly and on a schedule
A reminder two days before rent is due isn't a complaint. It's a courtesy, like a bill arriving before its due date. The same message on the 15th sounds like an accusation. So the fix for awkwardness is mostly timing:
- Two days before the due date: a friendly heads-up
- On the due date: a short note
- Three days after, only if unpaid: a polite reminder that it's overdue
- After that: a phone call, not another message
When tenants know reminders come on a schedule, they stop reading them as personal. "The rent reminder came" is very different from "the landlord messaged me again".
What to include
Every reminder should have exactly these facts, and nothing else:
- your name, so the tenant knows who it's from
- the flat
- the month
- the amount
- the due date
- how to pay, if it isn't obvious
No explanations about your own expenses, no comments about the tenant's circumstances, and no history of previous late payments.
What never to write
- Threats or ultimatums in the first reminders. "Pay or vacate" in a message on the 13th ends relationships that a phone call would have saved.
- Public messages. Never remind a tenant in a building group chat. It's embarrassing for them and reflects badly on you.
- Late-night messages. Send between 9 am and 8 pm. A 1 am reminder reads as anger even if it was just when you remembered.
- Long messages. If it needs scrolling, it's a letter, not a reminder.
- Guilt. "I have my own bills to pay" is true, but it shifts the conversation from the rent to your life.
- Family members. Don't message a tenant's relatives or employer about rent. It's a serious breach of privacy.

Replace the parts in square brackets.
Two days before the due date
Assalamu alaikum [Tenant name], this is [Your name], the owner of flat [4B]. A reminder that rent for [September], [৳25,000], is due by [10 September]. Thank you.
On the due date
Hello [Tenant name], rent for flat [4B] for [September], [৳25,000], is due today. If you've already sent it, please ignore this message. Thank you.
Three days after, if still unpaid
Hello [Tenant name], rent for flat [4B] for [September], [৳25,000], was due on [10 September] and hasn't reached me yet. Could you let me know when you'll be able to send it? Thank you.
When a part payment arrives
Thank you [Tenant name], I've received [৳15,000] for [September]. The remaining [৳10,000] is still due. Receipt attached.
When rent arrives
Thank you [Tenant name], rent for [September], [৳25,000], received. Your receipt is attached.

নির্ধারিত তারিখের দুই দিন আগে

Use the language the tenant is most comfortable in. If they wrote to you in Bangla when they first enquired about the flat, remind them in Bangla.
When a tenant keeps paying late
If the same tenant is late month after month, reminders alone won't fix it. Try this, in order:
- Ask, in person or by phone, if the due date suits them. Many tenants in Dhaka are paid on the 1st, others on the 7th or later. Moving the due date from the 5th to the 10th can solve the whole problem.
- Agree a plan for any arrears. "৳5,000 extra a month until August is cleared" is better than repeated demands.
- Put agreements in writing, even just a WhatsApp message saying "As discussed, rent will be due by the 10th from now on".
- Give a receipt for every payment, including part payments, so there's never doubt about what's still owed.
If none of this works and the arrears keep growing, that's the time for a formal notice under the lease, and for legal advice if needed. Not more reminders.
When the tenant replies
A reminder usually gets one of three answers, and each has a simple response:
- "Sent it just now." Thank them, check it arrived, and send the receipt the same day. Quick receipts teach tenants that paying is noticed.
- "I'll pay on the 15th." Say thanks and note the date. If it doesn't arrive by then, one short message the next morning is enough.
- "I'm having difficulty this month." Call rather than reply in text. Ask what they can pay now and when the rest will follow, agree it, and confirm it in writing. A tenant who tells you early is worth keeping.
Whatever the answer, reply within the day. A reminder followed by silence from your side feels colder than no reminder at all.
Keep a record of every reminder
Every reminder you send is part of the record. If a dispute ever arises, a history of polite, dated reminders shows you acted reasonably. Keep them in the same thread as the receipts, and don't delete them.
