A rent receipt is a small piece of paper that does a lot of work. It tells the tenant their money arrived, tells you what the money was for, and settles any disagreement months later in a sentence. Yet many landlords in Bangladesh either don't give receipts or write something so short it proves very little.

This guide explains what a rent receipt in Bangladesh should contain, shows a sample layout in English and Bangla, and points you to a free generator that makes a PDF in about a minute.

Why receipts matter

For the tenant, a receipt is proof of payment. If a dispute ever reaches a building committee or a court, the tenant with receipts is in a strong position.

For you, a receipt is a record of what was paid, when, how, and for which month. When a tenant says they paid for March, your receipt book (or your app) answers it immediately. Receipts also make your yearly income easy to add up for the tax return.

For both of you, a receipt fixes what the payment was for. ৳30,000 on 5 October could be September's arrears, October's rent, or rent plus a bill. The receipt says which.

The Premises Rent Control Act, 1991, the law covering rented premises in Bangladesh's towns and cities, expects a landlord to give a receipt for rent received. Even where nobody would ever check, a clear receipt is simply good practice.

What a rent receipt should include

A complete rent receipt has nine parts:

  1. Receipt number. Unique and in order, such as 2026-0042. It lets both of you refer to one payment without confusion.
  2. Date received. The day the money arrived, not the day you wrote the receipt, if those differ.
  3. Landlord's name. Yours, as the person receiving the rent. Add the building or your address if you like.
  4. Tenant's name. As on the lease.
  5. The flat. Its label and building, for example "4B, Shaptak Tower, Dhanmondi".
  6. What it's for. The month or months, for example "Rent, September 2026". If bills are included, list them as separate lines.
  7. The amount. In taka, with the total clearly marked. Writing the amount in words as well ("Twenty-five thousand taka") stops anyone altering the figure.
  8. How it was paid. Cash, bKash, Nagad, bank transfer or cheque, with the transaction ID or cheque number.
  9. What's still owed, if anything. "Paid in full", or the balance remaining for the months covered.

A signature is traditional on paper receipts. For a receipt sent digitally with a unique number, the number and the record behind it do the same job.

Sample layout in English

Rent receipt
Receipt no. 2026-0042 · Date: 5 September 2026

Received from: Tanvir Hossain
Flat: 4B, Shaptak Tower, Dhanmondi

ForAmount
Rent, August 2026 (balance)৳10,000
Rent, September 2026৳25,000
Electricity bill, August 2026৳1,850
Total received৳36,850

Paid by: bKash · Transaction ID: TRX8J2K91
Status: Paid in full

Received by: Farhana Rahman

Notice what this receipt does well. The August balance and the September rent are separate lines, so nobody will later wonder whether August was cleared. The bill is its own line, so it's clear it isn't rent. The bKash transaction ID lets either side find the payment in seconds.

If your tenant reads Bangla more comfortably, give the receipt in Bangla. Bangla digits (২৫,০০০) are perfectly fine, as long as you're consistent.

Common mistakes

  • No month on the receipt. "Received ৳25,000" without a month is the most common gap, and the one that causes the most arguments.
  • One receipt for rent plus arrears, without splitting them. Always show each month as its own line.
  • Skipping receipts for cash. Cash has no trail, so it needs a receipt more than any other method.
  • Reusing or skipping numbers. Numbers should run in order without gaps. If you cancel a receipt, keep it and mark it void. Don't reuse its number.
  • Rounding. If ৳24,500 was paid, the receipt says ৳24,500, and the balance of ৳500 is shown.
  • Mixing the advance into rent. An advance paid at move-in gets its own receipt, clearly labelled "Advance", not "Rent".

Receipts for the advance, bills and refunds

Rent isn't the only money that needs a receipt. Three other moments deserve one:

  • The advance at move-in. Label it "Advance", with the amount, date and what the lease says it can be used for. This is the receipt both of you will look for years later, at move-out.
  • Bills collected from the tenant. If you collect a gas or electricity bill you paid, put it on the rent receipt as its own line, with the bill's month. Don't fold it into the rent figure.
  • The refund at move-out. When you return what's left of the advance, write a short settlement: advance held, anything deducted and why, and the amount refunded. Both of you sign it.

How long to keep receipts

Keep your copies for at least as long as the tenant lives there, and for several years after they leave. Tax questions about rental income can look back more than one year, and disputes about an advance sometimes surface long after move-out. A digital copy, whether a photo, a PDF or a record in an app, is far easier to keep and find than a carbon book in a cupboard.

Paper, template or generator

A receipt book from a stationery shop works, with carbon copies. It's easy to lose, though, and hard to search later.

A template in a word processor is tidier, but you have to number, save and send each one yourself.

A generator does the formatting for you. Griho's free rent receipt generator makes a PDF in English or Bangla from a short form: your name, the tenant, the flat, the month, the amount, the method and reference, the date and a receipt number. There's no sign-up, and nothing you type is stored. Download it and send it on WhatsApp or print it.

When you're making receipts every month

If you have more than one flat, or you want receipts to go out without thinking about them, a rent app is the natural next step. In Griho, tapping Mark received does everything above automatically:

  • a unique receipt number, in order, with no gaps or repeats
  • the months paid and any balance, worked out for you
  • bills you're collecting shown as separate lines
  • the method and reference recorded
  • a PDF in the tenant's own language
  • sent straight to the tenant on WhatsApp or by email, with a link to view it online

Every receipt is kept, so you can find any payment later in seconds. See how it works on Rent receipts and reminders on WhatsApp.

Quick checklist for every receipt

  • Receipt number, unique and in order
  • Date the money was received
  • Your name, the tenant's name and the flat
  • The month or months, each on its own line
  • Bills or charges as separate lines
  • The amount, with the total marked, and in words on paper
  • Method and transaction ID or cheque number
  • "Paid in full" or the balance still owed
  • A copy kept by you

Give one for every payment, including cash and part payments. It takes a minute, and it saves hours.
